Situation 1: Our client delivered a business service to his customer and was paid by that customer with a credit card. Two months later, the customer disputed the charge and the bank reversed the charges.
Client goal 1: Since our client performed his service satisfactorily, his goal was to get the bank to re-deposit the money into his account.
Brief example and summary of letter 1:
Attention: Chargeback department
Regarding charge back case: XXXXXXXXX
I am asking for your help escalating this matter with XXXXX’s credit card company to have the charges reposted into my account for the time that he used my business services.
Below I have included all of the details of our business interactions, which clearly show that he used my services, so has no right to be reimbursed for the charges:
[In this section of the two-page letter, we delineated all of the interactions that our client had with the disputed party, as well as giving the details of their original agreement. Next, we listed all of the supporting documents that proved our client’s case.]
Achievement 1: The entire amount was reposted into our client’s account. In most cases, credit card companies automatically grant the disputed charge in the consumer’s favor, so the letter that we wrote was essential to our client’s resolving his problem in his favor.

Situation 2: Our client purchased an expensive watch from an authorized jeweler and, after only three months, the watch wasn’t working properly. When he called the jeweler to resolve the problem, they denied his request to replace the watch or give him his money back.
Since the jeweler wasn’t willing to work with him, our client decided to go through his bank to get a full refund. In response to our client’s bank contacting the jeweler, the jeweler wrote a letter to the bank giving all of the reasons that the jeweler did not want to refund the money.
Client goal 2: Our client wanted a full refund, so we wrote a letter to the bank that debunked each of the jeweler’s claims.
Brief example and summary of letter 2:
Dear Shelly,
RE: Account # : XXXXXXXXX
I appreciate and respect the effort that Bank of America is putting into making a fair decision in this case. As requested, this is my response to the letter from XXXXXX Jewelry:
The XXXXXX Jewelry letter states that I had the watch for four months. In actuality, I had the watch for 90 days. Please review the attached purchasing receipt and shipping receipt for confirmation.
[In this part of the letter we systematically debunked each of the jeweler’s claims, including why the problem with the watch was not minor and why returning the watch for repair was an unacceptable outcome.]
[Finally, we covered what our client had done to try to remedy the situation and gave more details on how the jeweler responded.]
Achievement: The bank granted our client a full refund for the watch.

Situation 3: A phone company refused to transfer our client’s business phone numbers to a different phone company. In addition, the company had overcharged our client.
Client goal 3: Our client wanted his phone numbers transferred to the phone company of his choice, and he wanted a full refund for the over-charges.
Brief example and summary of our letter 3:
I am demanding the following:
1. Immediate release of all of my numbers so that they can be ported out to the carrier of my choice.
2. Immediate reimbursement for all of the double charges that were placed on my cards. I have attached all of my bank statements for these overcharges.
[In this part of the letter we gave a history of our client’s relationship with the phone company, the agreements that he had signed, and extensive details of the problems. We followed that with explanations of all of the interactions our client had had with the company and details about other actions he had taken to try to resolve the problems.]
[Finally, we repeated our client’s demands and included a list of the supporting documents. We also gave a date by which we expected a resolution and stated what actions our client would take next if the problem was not resolved by then.]
Achievement: All of the phone numbers were transferred and our client received a complete refund for the over-charges, as well as a refund for all of the bills that had followed the original request for the transfer of the numbers. In addition, he received a written apology from the president of the company that included a genuine request that our client not sue him.
